Skills and Competencies

  • Must have a positive customer service attitude and able to liaise confidently with stakeholders at all levels.
  • Proficient in Microsoft Office Applications
  • Must have excellent communications skills, verbal and written
  • Written and verbal English skills required at high level
  • At least 3-5 years relevant experience
  • Familiarity with FM systems including space planning and security systems.
  • Keen eye for detail and excellent organisational skills.

Education

  • College Degree preferred

Responsibilities


The Facilities Specialist will be responsible for supporting Moody’s lines of business by having overall responsibility for the delivery of facility operations, maintenance and repairs, and occupancy planning activities in Moody’s office as well as managing day to day requests.

  • Management of the reception of guests & visitors, postal services, and meeting rooms.
  • Act as the liaison between Moody's and the building landlord to coordinate a variety of activities and services to ensure our workplace runs smoothly and efficiently. Including fire and evacuation drills, liaising with building engineering for any electrical and lighting needs.
  • Provide front line support to business operations in coordination with other members of the Corporate Services Department staff, for the following functional areas: (i) procurement and sourcing, (ii) travel management, (iii) real estate and (iv) project management.
  • Provide support to other Moody’s shared service groups including but not limited to Information Technology, Business Continuity and Corporate Security.
  • Review vendor invoices related to the facilities operation.
  • Oversee and review all third-party office service facility contracts, including cleaning, engineering maintenance, security, pantry services, and any other office service contracts.
  • Work with the Corporate Services project group to deliver approved projects for the facility.
  • Oversee the installs, moves, repairs, and removal of equipment and furniture installations.
  • Provide 24/7 emergency response and backup support for operational staff in handling on-call facilities emergencies as well as ensure compliance with security policies and practices, especially related to physical security of facilities. Maintain corporate compliance with all local workplace/facilities regulations
  • Participate in crisis management and business continuity planning. Assist with corporate wide contingency planning/business continuity efforts. Coordinates training, communication and testing of business continuity plans. Assists with recovery effort in time of disaster.
  • Participate in ad-hoc projects as assigned.
  • Responsible for Health and Safety to meet the local legislation. Including fire marshal and first aiders training program, delivery of in house ergonomic online training.

Annual base salary gross: 32,500 RUR to 51,900 EUR. Applicable to Lithuania candidates: The base salary range represents the low and high end of the Moody’s salary range for this position. Actual salaries will vary and will be based on various factors, such as candidate’s qualifications, skills, and competencies. The salary is one component of Moody’s total compensation package for employees. Other rewards and benefits include the following: Medical, Personal Accident, Life Insurance and Time Off.
