Responsibilities
- Calendar management - diary correspondence on behalf of the GM office with customers and internally, proactive planning to control complex calendar schedules, managing time and scheduling in alignment with the goals and priorities of the team.
- In-person meeting coordination - create a good attendee experience for internal and external meetings, planning all in-person meeting logistics, including guest access management.
- Travel booking and planning - make and communicate stellar travel arrangements and set up monitoring to be a proactive first responder in the event of delay or cancellation.
- Finance and Expense management - GM office invoice management and GM expense reporting.
- Team support and access management - protect company data and ensure that everyone has access to the information they need incl. managing groups and distribution lists and providing support for onboarding / offboarding staff.
- Team alignment - coordinating the admin community within Insurance Solutions to support strong alignment across the leadership team.
- Leading through a network - act as key point of contact for Insurance Solutions, partnering closely with other internal stakeholders and an internal network of admins. · Appetite for change - taking a scientist (test and learn) approach to change and role modelling our Moody’s values and behaviours.
- Stretch - taking a continuous improvement mindset to identify improvements and delivering them, option to take up wider project work.
Skills and Competencies
- Experience working in a corporate environment, supporting executives and senior leaders.
- Advanced working knowledge of Microsoft 365 software.
- Strong English verbal and written communication skills.
- Excellent organizational skills with a sharp focus on details.
- Comfortable asking questions and seeking clarification.
- Confident communicator using initiative to share information and create alignment.
- Maintain highly confidential matters with discretion and integrity.
