Skills and Competencies
- 3 to 5 years’ experience in a related role.
- Strong verbal and written communication skills - English proficiency required.
- Proactive, self-motivated, organized, and detail-oriented with excellent judgment and with a global team mindset.
- Ability to prioritize, problem-solve, work independently, and collaborate effectively.
- Openness to learning about AI and utilizing it in daily tasks.
- Proficiency in:
- Outlook (Make and modify appointments and recurring appointments using the planner; familiarity with labels and private meetings; time zones; in E-MAIL, the ability to write, send and forward emails as well as perform e-mail campaigns)
- Word (ability to build and modify communications using header/footers, pagination, tables, mail merges, hyperlinks, etc.)
- Excel (ability to understand and use basic formulas to make workbooks, charts, and graphs).
- PowerPoint (ability to understand and use basic formulas to make workbooks, charts, and graphs).
- Ability to handle sensitive data with trust and confidentiality.
Education
- Bachelor’s degree preferred.
Responsibilities
- Coordinate internal and external activities of the Investor Relations Team.
- Provide administrative support, manage calendars, and coordinate travel for team members.
- Assist in managing travel logistics for senior management, including roadshows, conferences, and office visits.
- Schedule meetings and track projects, reporting progress against milestones.
- Prepare materials for high-level meetings and discussions.
- Foster relationships with internal and external stakeholders to ensure needs are met.
- Organize team meetings, follow up on action items, and suggest process improvements.
- Handle time-sensitive and confidential information with discretion and diplomacy.
- Develop a deep understanding of company operations, policies, and procedures.
- Manage investor meeting scheduling and inquiries, and maintain the IR mailbox.
- Support data entry and management in the IR team's CRM database.
- Coordinate Teams channel requests and facilitate access for Moody's personnel.
- Archive Slack/Teams channels for events and investor calls.
- Manage vendor invoices and track invoice status.
- Process procurement requests, manage IR SharePoint site, and support onboarding/offboarding processes.
- Handle monthly Travel & Entertainment expenses and assist with ad-hoc projects.
About the team
The Senior Administrative Coordinator assists the Head of Investor Relations in coordinating the work of the Investor Relations Team. This position supports various aspects of the planning and delivery of the Investor Relations team’s output by providing high-level administrative support. The role includes all aspects of administration with strong focus on calendar management, travel coordination and stakeholder management.
The position will routinely interact with members of Moody’s executive and senior management team, as well as being exposed to Finance related concepts, strategies and general management activities. The ideal candidate will be comfortable working in a fast-paced environment, juggling multiple tasks and interacting with senior level management - both internal and external. The role has a direct reporting line to the Head of Investor Relations.
