Role overview:

We are seeking a highly organized, project-oriented and responsible Senior Administrative Assistant to join our global Corporate Affairs team; the position is based in Costa Rica and will support Corporate Affairs colleagues globally.
In this position, you will play a proactive role in managing and streamlining team day-to-day and long-term operations. Stakeholders require proactive calendar management with special attention to identifying and remedying scheduling conflicts, suggesting changes to be more efficient and help balance time between meetings and working time. The successful candidate will need to have experience and confidence using collaboration tools to keep a global team running.
This role also has the opportunity to develop and introduce efficiencies to stakeholders based in organizational, project management and procedural frameworks. The ideal candidate will be a team-oriented individual with a "can do" attitude, ability to think and plan proactively a keen eye for detail, a strong prioritization skills, and a deep understanding of administrative responsibilities.
Responsibilities:
* Coordinate and manage schedules, appointments, and meetings for the team to ensure smooth daily operations. As role progresses, administrative assistant would be expected to identify inefficiencies and suggest resolutions. Stakeholders will include 1 managing director and 2-4 senior vice presidents located around the world.
* Handle expense reports, including collecting receipts, tracking expenditures, and preparing regular expense summaries.
* Coordinate travel arrangements, including booking flights, hotels, and car rentals, and managing travel-related expenses. Adhere to corporate travel and entertainment policies and incorporate stakeholder preferences into planning.
* Provide general administrative support, such as organizing in-office team events, handling packing and shipping, and providing assistance to other team members as needed.
* Liaise with internal teams and external partners to ensure effective communication and scheduling. This includes working closely with Corporate Affairs Administrative Support team to follow best practices and standardize support across the team. Provide vacation and other coverage for administrative colleagues.
* Contingent on management of basic responsibilities, ownership of specific project, processes and subject matters.
* Perform other administrative duties as assigned.

Qualifications:
* Bachelor's degree or equivalent experience in business administration or a related field.
* Proven experience as an administrative assistant supporting senior corporate executives.
* Proficiency in MS Office, with exceptional knowledge of Teams, Outlook and Excel.
* Excellent time management skills and the ability to prioritize work.
* Strong organizational skills with the ability to multitask.
* High level of attention to detail and problem-solving skills.
* Excellent English written and verbal communication skills.
